Buying and using a template

How it works

Donga Docs templates are Word documents with the hard part already written. Your part is the bit that's specific to your business and your site.

1. Buy

Pick your trade's complete system, a smaller pack, or a single template. Pay by card at checkout. The price covers your whole business: every site, every crew, and as many copies as you need.

2. Download

Your download link arrives straight away, on screen and by email. Each template comes as:

  • A Word file (.docx), the one you edit
  • A PDF copy, so you can see how it should look when finished

3. Fill in the yellow

Everything that's yours to fill in is highlighted yellow: company name, ABN, site address, names, phone numbers, and site-specific details like your muster point or the nearest hospital. Type over each yellow bit, then remove the highlight.

The tick boxes are real Word check boxes. Click one to tick it. Add your logo by clicking the logo box at the top of the page and inserting your own image.

4. Check it against your job

This step matters most. A template is written for the usual way a job is done. Read every step and ask:

  • Is this how we actually do it on this site, with this gear?
  • Is anything here that doesn't apply? Delete it.
  • Is anything missing, like overhead powerlines, a creek, the public, or a tight access? Add it.

5. Talk it through with the crew

Under WHS law you have to consult the workers who'll do the work. Go through the document at a toolbox talk or prestart, change anything they pick up, and get them to sign on. Every SWMS has a sign-on sheet. Every SOP has a training record.

6. Keep it current

Review each document when the job, site, crew or gear changes, after any incident, and at least by the review date on the front page. Each document has a review record for this.

What you need

  • Microsoft Word (Microsoft 365, or Word 2013 or later) is recommended. Google Docs and other programs open the files, but the tick boxes may not click and some layout may shift.
  • A printer, if your site still runs on clipboards. The forms are made to print on A4.
